LEVY ADMINISTRATION
- Uploading of new owners onto the system
- Suspension of previous owners from the system
- Billing monthly levy amounts due
- Disbursement of monthly levy statements
- Owners can retrieve levy statements via an online portal
- There will be a 12 month history of statements available, they can be viewed, emailed or printed
- Vigorous collection of unpaid levies
- SMS, arrears letters and telephonic follow ups of arrears levies up to 90days
- Arrears list provided to the body corporate on 7th, 14th and 21st of each month
- Track and manage levy arrears, charge interest on overdue accounts
- Providing levy clearance figures
- Accurate record keeping
BUILDING MANAGEMENT
- Monthly inspections and reporting of common areas
- Assisting with the maintenance of the common property
- Assisting with the enforcement of conduct rules
- Overseeing body corporate staff (building managers; security etc)
- Assisting with insurance cover and claims
- Annual Fire Compliance
- Monitoring and proposals of improving complex access control and security
FINANCIAL ADMINISTRATION
- Annual budget preparation
- Tracking and monitoring of actual expense vs budgeted expenses
- Monitoring Insurance replacement values
- Processing of Insurance Claims
- Monthly Payroll of body corporate staff (payslips and payments to staff)
- Payments of PAYE, SDL & UIF
- Supplier and 3rd party payments as instructed by Trustees
- Utilities management and recoveries from prepaid meter services
- Payment of CSOS Levies
- Recording and up keeping body corporate books up to trial balance
- Preparing books for audit
- Monitoring the audit process and supporting the auditors

- Levy Roll

MEETINGS
- Setting up of meetings
- Disbursement of meeting notifications, agendas and applicable documentation
- Attendance of Trustee meetings, AGMS and other special meetings where required
- Compiling and completing of attendance register
- Collating and tracking of nominations and proxies
- Minute taking and distribution
ADDITIONAL COSTS TO THE BODY CORPORATE
- Audit Fees
- Tax returns and associated fees

- Any additional meetings will be charged at an hourly rate of R500 p/h
